# Create a Proceeding

> Schedule a deposition, hearing, or other proceeding and hand it to your agency.

Booking is one form, submitted once. After that the agency handling your matter takes over — assigning the reporter, arranging the room or the remote meeting, and coming back to you only when it needs something.

## Before you open the form

The form checks for four things:

* The schedule — one date, start and end time, and a timezone. A proceeding holds exactly one session; a two-day matter is two proceedings.
* The witness — exactly one, under their full legal name. A second deponent is a second proceeding.
* The location — an address, a remote meeting, both, or a request for the agency to find a room.
* The notice — a deposition can't be submitted without a notice of deposition attached. Other proceeding types don't require one.

## Opening the form

Click Create at the top of the Proceedings page, or the small `+` on the Proceedings menu item. A drawer opens — that's the whole form. What you type survives closing the drawer while you stay in the Proceedings section; Reset Form clears it deliberately.

## Case details

If someone has shared their account with you, a Submit On Behalf Of picker appears first — whoever you choose owns the proceeding for tracking and billing.

Fill in the case block: proceeding type, case name and number, the witness's name and type (`expert`, `medical`, or `lay`), and the session row. Notes is free text that goes straight to the agency.

  A start time less than 48 hours away raises a last-minute coverage warning. The booking still goes through, but coverage isn't guaranteed — call the agency if you don't hear back within a few hours.

## Location

Three expandable options. In-Person and Arrange Location are mutually exclusive; Remote Meeting combines with either, which is how you book a hybrid session.

* Remote Meeting — pick the service. Zoom is the only selectable option today. You don't supply a link; the agency creates the meeting and the joining details appear on the proceeding's Location tab once it's configured.
* In-Person Location — the address autocompletes; picking a suggestion fills the rest. An address that can't be found blocks submit. Directions and Parking are passed to whoever covers the session.
* Arrange Location — give a city and state, and the agency finds and books a room.

## Files

Notice of Deposition takes up to 5 files, 50 MB each, PDF/DOC/DOCX — this is the dropzone that blocks a deposition while empty. Exhibits takes up to 100 files, 10 GB each, any type except executables, scripts, macro-enabled Office files, `.svg`, and `.html`.

Nothing uploads until you submit. And you don't have to attach exhibits now — the Files tab keeps taking uploads after booking.

## Opposing counsel and guests

Add each invitee with a name, email, and role. The bell icon on a row mutes notifications for that person without removing them — on by default, and it controls the meeting invitation for a remote session too. Invitees can be managed from the proceeding's Invitees tab afterwards, so an incomplete list isn't a reason to hold off.

## Services

Court Reporting is always included. Videography adds a legal videographer. Interpreter opens a language picker plus Registered and Certified requirement toggles, both on by default — the list only shows languages the agency can staff, so if yours is missing, contact the agency before submitting.

## Review and submit

Create Proceeding opens a review window first — check the date before it reaches anyone. On your first booking, and again whenever the terms of service change, the review carries a Terms of Service checkbox that must be ticked before Submit enables.

Submission then runs in a progress window: the record saves (it now exists as a Draft), files upload one at a time with per-file retry or skip, and the final step moves it to Submitted and notifies the agency.

If the submission is interrupted — closed tab, dropped connection — the proceeding sits at Draft and nobody is working on it. Open it and use Complete Submission in the banner to re-run the hand-off. Interrupted uploads start over rather than resuming.

## What happens next

Submitted becomes Upcoming once the agency configures the job — one word covering everything from sourcing a reporter to every seat confirmed. If a deposit is required first, the status reads Deposit and the invoice appears under [Action Required](/proceedings/action-required).
