# Manage Proceedings

> Find a deposition, read its status, and see what the agency still needs from you.

Everything you've booked lives under Proceedings: Active (the default), Past — where a job moves the moment its session ends, not when the transcript arrives — and a Calendar view of the same jobs.

Both lists have filters for date, location type, proceeding type, and status; Past adds a search across case name and number, witness, and proceeding number. If colleagues share their jobs with you, a toggle switches between everything you can see and just your own. Each row's menu has View Details, plus Join Meeting when there's a live Zoom meeting.

  Every proceeding has a number like `P-1043` — on the row, in the job header, and in every email about the job. Quote it when you raise something.

## What each status means

| Status     | What it means                                                    |
| ---------- | ---------------------------------------------------------------- |
| Draft      | Started but never finished submitting. Nobody is working on it.  |
| Submitted  | The request is in and the agency is setting it up.               |
| Deposit    | A deposit invoice is outstanding. The job holds until it clears. |
| Upcoming   | The date is set; staffing and confirmations are in progress.     |
| In Session | The deposition is under way.                                     |
| Complete   | The session has ended.                                           |
| Canceled   | Canceled, all coverage released.                                 |

Two of these mislead people regularly:

Complete means the session happened — not that your transcript is ready. Deliverables are tracked on the Orders tab; see [Proceeding Orders](/proceedings/order).

Draft means an interrupted submission. Open the job and use Complete Submission in the banner — until you do, nothing is scheduled.

## Why a proceeding sits on Upcoming so long

Upcoming covers three phases with no badge change: the agency sourcing professionals, those professionals accepting each seat, and confirmations being collected — including yours, requested about two days out ([Confirming a Proceeding](/proceedings/confirm)).

About an hour before the start, a fully confirmed proceeding flips to In Session and a reminder email goes out. If your confirmation is outstanding, a deposit is unpaid, or assigned professionals haven't confirmed, the badge stays on Upcoming past the start time and no reminder is sent — check [Action Required](/proceedings/action-required) to see what's holding it. The same items appear as banners across the top of the job itself.

## Inside a proceeding

Summary is the overview — case, services, schedule, witness, invitees — with the location card beside it.

Files is the job's case file. Pick a type per file — Notice of Deposition, Subpoena, Exhibit, or Change and Signature (a Default File Type selector with Apply to All saves repetition). Notices and subpoenas are PDF/DOC/DOCX up to 50 MB; exhibits any type up to 10 GB; a Change and Signature sheet — the signed errata sheet that comes back after a deposition — is PDF only, up to 50 MB, and uploading one notifies the agency directly. The job holds 100 files across all types together. Tick rows and Download Selected pulls them as one zip.

You can also add files without signing in: the agency can email an upload link that opens the same case file as a single page — same types, same limits, uploads one at a time with per-file retry. The link is reusable and works until the job wraps up or is canceled; the agency can withdraw a job's upload links at any time.

Location — address, directions, parking, and remote joining details: [Proceeding Location](/proceedings/location).

Invitees — add, edit, or remove people, with a per-person notifications switch. Locked once the session ends.

Orders — deliverables, open once the proceeding is under way: [Proceeding Orders](/proceedings/order).

Invoices — this job's issued invoices; appears only when there is one.

## Changing the date, or calling it off

Reschedule is in the job header with Cancel Proceeding in the menu beside it. Both are available at Draft, Submitted, Deposit, or Upcoming and disappear at In Session. Rescheduling is a request a manager reviews; canceling is immediate and cannot be undone. Both are covered on [Reschedule or Cancel](/proceedings/reschedule).

## After the session

The proceeding reads Complete and moves to Past. Invitees lock, but the summary, files, orders, and invoices all stay open — and you can still upload to the job. Orders placed on the record appear once the reporter's paperwork is in; you can place one from the Orders tab at any point after.

When exhibits are requested after the day, each party holding them gets their own emailed upload link — you, an invitee, or opposing counsel with no account at all. Any type, 10 GB per file, 100 files; the reporter is told when files land, and unmet requests are re-sent about weekly. Each link belongs to one request and one party — reassigning or dropping the request kills the old link.
