# Running a Proceeding

> Prep the night before, get there or join, cover the deposition, and close it out.

Everything for an accepted job lives on one page: Proceedings → Active, click the row. Haven't accepted yet, or being asked to confirm attendance? Start with [offers and confirmations](/team-adF2334soP/proceedings/assignments).

Active holds everything through the day of the deposition — and a finished one stays there until your worksheet is in, because the job isn't done while paperwork is outstanding. Past holds Complete and Canceled. Calendar is your accepted sessions on a month view. The Actions menu on any Active row jumps to the orders, the meeting, or the thread without opening the job.

## The night before

Read the Summary tab against your own notes — schedule with its timezone, your role, the witness, the notes staff left. The calendar icon on the schedule row pushes the session to Google Calendar or an `.ics` file; do it now, not the morning of. Anything wrong — date, witness, address, services — goes in the job's [thread](/team-adF2334soP/threads) tonight.

Pull the paperwork from Files → Case: tick rows and Download Selected zips exactly what you checked. What you can see follows your role — court reporters get every file on the job, videographers the Notice of Deposition only, and interpreters have no Files tab.

Then check the Location tab. If a remote card says the meeting hasn't been created, it won't appear on its own — chase it in the thread tonight.

## Getting there

The Location tab shows an in-person panel and a remote panel; the one this job doesn't use reads `Not Requested`. On a hybrid job both are live — and nothing on the job records which side you personally cover, so if the notice doesn't settle it, ask in the thread before you set out.

In person: venue, address, Open in Maps, Copy address — and underneath, when staff filled them in, Directions and Parking. That's where "use the loading dock entrance" lives, and it isn't repeated anywhere else. `Map Preview Unavailable` means only the map pin failed; the address is still right. `No Location Set` means staff haven't configured the venue — normal early on, worth chasing if the session is close.

  Treat the Location tab as the truth and the email in your inbox as a snapshot. A venue change doesn't necessarily send a new email — reload the tab before you leave.

## Joining remotely

The agency creates the meeting; you set nothing up. The panel carries the meeting ID and password with copy buttons, Join in Browser, Open in Zoom, and a Dial-In row that previews the number nearest you and opens the full list. On the day, the fastest route is Join Meeting in the row's Actions menu on the Active list.

Court reporters and videographers also get a Host Key on Zoom jobs. It reads `Available 1h before` until an hour before start — that's not a fault. Join in Browser always joins as attendee; to come in as host from the beginning, use the co-host link in your invitation email. Interpreters get the plain attendee link and no host key.

About an hour before start a reminder email arrives with the join link and, on Zoom, the host key. That reminder is switchable in [notifications](/team-adF2334soP/account/notifications); the invitation email that first carried the meeting details is not.

`No Meeting Yet` means there's no meeting on the job — staff haven't created one or it was deleted on the Zoom side. It doesn't resolve itself; raise it in the thread. After In Session passes, the panel keeps the ID and password for your records and drops the join buttons.

## On the day

An hour before the scheduled start — provided every seat is covered and everyone due to confirm has — the job flips from Upcoming to In Session. It stays there until the scheduled end passes, then moves itself to Post Session.

Court reporters and videographers get a Files → Recordings tab on Zoom jobs: each recording session is a card listing its files — download one, or the session as a zip once packaged. Downloading means still fetching from Zoom; Archived means past the one-year retention window and gone. Interpreters don't see recordings.

## After the deposition

File the worksheet the same day if you can — from the Worksheet tab or the Enter Report banner button. The job sits in Post Session until every assigned court reporter and videographer has one in, with a daily reminder while yours is missing. ## What the statuses mean

| Status       | What it means for you                                                                                                                                        |

| Upcoming     | Accepted, not yet started. Covers the whole run-up — it won't tell you whether your confirmation landed.                                                     |
| In Session   | The window is open. It opens an hour before start on a fully covered, confirmed job; one short of a seat or a confirmation stays on Upcoming past that mark. |
| Post Session | Over, and a worksheet is still outstanding — possibly yours.                                                                                                 |
| Complete     | Closed out. Moves to Past; the worksheet locks.                                                                                                              |
| Canceled     | Called off.                                                                                                                                                  |
