# Managing Jobs

> Take a transcription assignment, pull the files, and work it to your deadline.

A transcription job reaches you as an offer, not as work already on your plate. You accept it, wait for your turn, download the media, type or edit, and upload the finished document. This page covers everything up to that last step — delivering the transcript has its own page, [Submit Your Transcript](/team-adF2334soP/transcription/submit).

## Take the job, or turn it down

The offer arrives by email with a link that works without signing in. Inside the app it lives under Transcription → Action Required → Assignments; that sidebar item only shows up when you actually have something waiting, so if you don't see it, you have no open offers.

Either way you get the same dossier before you commit:

* Your role on the job — Typist or Editor.
* Duration in minutes and the estimated page count.
* The due date, with a badge showing how much runway is left.
* The participant list with each speaker's tag.
* Estimated earnings, if your assignment is billable — the job's page count multiplied by your per-page rate.

Accept and the job appears on your Active list. Decline and you'll be asked for a reason from a fixed list — audio too short, audio too long, turnaround too tight, deadline conflict, no bonus for faster turnaround, unavailable, technical issues, or other. Picking "Other (please explain)" makes the comment box required; the comment caps at 500 characters. Your reason goes straight to the case manager, so it's worth being specific.

  A seat holds one person. If another typist accepts the typist seat first, the offer drops out of your queue — there's no waiting list. Offers don't time out on their own; one stays open until someone takes the seat or the job is canceled.

The emailed link is single-use. Once you've accepted or declined through it, use the app.

## Accepting isn't starting

Accepting reserves your seat. It does not mean the work is ready.

The Task Status column on your Active list tells you whose move it is. Pending means it's on you. In Review means you're the typist and the editor now has it. Blocked means you're the editor and the typist hasn't handed over yet. The button in the row mirrors that — you get an Options menu when it's your turn, and a greyed-out Review Pending, Waiting On Typist, or Pending when it isn't. On the rare job set up to use the [in-browser editor](/team-adF2334soP/transcription/transcript-editor), your turn brings up an Open button instead of the menu.

Editors can accept while the job is still with the typist. Open the job in that window and you'll see an "Editing Not Started" banner; you'll get a second email when the source is ready and the job flips to Editing.

## Pull the files

Downloads are open only while it's your turn. Before and after your task, file names render greyed out and the download buttons are disabled — that's expected, not a fault.

The fastest route is the job page: open the job and click Download ZIP on the Case Bundle card. You get `T-{id} - Bundle.zip` with the working document at the root, named after the case and its date, media under `media/`, and attachments under `attachments/`. The zip is assembled in the background, so you can close the panel or navigate away — it still downloads when it's ready.

From the Active list, the same bundle is on Options → Download as Zip. Options → Download Files opens a picker if you only want one or two items. And on the job's Files tab you can tick individual rows in the Media or Attachments table and use Download Selected.

### When a file carries excerpts

A media file can carry excerpt ranges — the customer marked which parts of the recording to transcribe. The ranges sit as their own rows under the file in the Media table, in start order, and only those ranges get typed: the job's duration, page estimate, and your estimated earnings all count the excerpted time, not the full file. If a file has no excerpt rows, the whole recording is in scope.

The download items in the Options menu carry an "Unseen" badge until you've fetched them once, then flip to a green tick. That marker lives in your browser, not on your account, so it resets on a different machine.

## What you're starting from

The Case Bundle card names the state of the document in plain terms:

* "Review & Submit" means the agency ran the recording through automatic transcription and there's a machine draft. Download builds a Word document from it on the spot.
* "Latest Upload" means a document is already on the job — as the editor, that's the typist's file, exactly as they submitted it. Download gives you that, plus its page count.
* "Next · Awaiting Upload" means there's nothing to start from. Transcribe from the media.

## Working the job page

The header carries the job id, the current status, and an Open Thread button. Below it:

Overview shows Duration, Pages, and Due By across the top, plus Revenue when your assignment is billable. Pages reads as an estimate until you submit, then switches to the real count, and Due By becomes Finished with the date you handed it over. On the left, Case Details lists the case name and number, court, judge, date of proceeding, any appeal details, the participants with their speaker tags, and the job notes. The Case Bundle sits on the right.

Files is the full picture — every media file and attachment with its length, size, and upload date.

Once the job reaches Reviewing — after your submission, or the editor's if the job has one — the page changes tone: the status badge reads Reviewing, an In Review banner sits at the top, and the Case Bundle card drops its Download ZIP button and marks the document In Review with a note that your transcript is being reviewed. It stays that way until the review finishes and the job moves on to Finalizing by itself, or staff return the job to you.

## Staying ahead of the deadline

While it's your turn, the job page raises a Due Soon banner inside 48 hours and an Overdue banner in red once the date has passed. Outside your turn it stays quiet, deliberately — there's nothing you could do about it yet.

Action Required is tighter: its Due Soon and Overdue tabs only pick up jobs within 24 hours of the deadline or already past it.

On the Active table, the Due By column carries a warning triangle — orange inside two days, red inside one day, and a filled red triangle once the job is overdue.

## Finding a job again

Active lists only the jobs at Transcribing or Editing. Filter it by due-date range, minimum and maximum minutes, minimum and maximum pages, and Task Status.

Everything from Reviewing onward moves to Past, along with anything canceled — so as soon as the job reaches Reviewing it lands there, badged Reviewing, rather than lingering on Active. Past is searchable and filters on when you accepted, when you finished, the due date, the date of proceeding, status, page count, and invoice status. The status filter only offers Finalizing, Complete and Canceled; leave it empty to see jobs still in review.

## The six words you'll see

| Editing      | The editor's turn. Typists see this while their work is reviewed.                                                              |
| Reviewing    | Your part is done and an automatic QA pass is running on the agency's copy. The job comes back to you only if staff return it. |
| Finalizing   | The agency is working through the review and producing the final PDF.                                                          |
| Complete     | The job is delivered or closed out.                                                                                            |
| Canceled     | The job was pulled.                                                                                                            |

  What staff and customers call "Ready for Delivery" reads as Complete on your screen. Your Past filter groups both under Complete too, so a job sitting in delivery and a job fully closed look identical to you. Either way, your part is finished.

## When something's wrong with the job

Bad audio, a missing file, a name you can't make out, a page that doesn't belong — raise it on the job's [thread](/team-adF2334soP/threads) rather than sitting on it. The thread is scoped to that one job, so staff see the case attached without you having to explain which one. Open Thread sits in the job page header, and in the Active row's Options menu while it's your turn.
