# Manage Transcription

> Follow a job from submission to download — what each status means, where the transcript appears, and what to do when payment holds it back.

Your jobs live under Transcription: Active for everything in flight, Past for complete and canceled. A job jumps lists the moment it closes. Each job carries an id like `T-1482` — quote it when you contact the agency; it finds the job faster than a case name.

Both lists have search and filters (Past adds invoice status, the one to reach for when reconciling payments). On Past, the Actions column downloads the transcript directly; to pay against a closed job from the list, hover the invoice number in the Invoices column and use Pay Now on the card. On Active, that column shows whatever the job is waiting on.

## What each status means

| Status             | What it means                                                                                |
| ------------------ | -------------------------------------------------------------------------------------------- |
| Draft              | A submission that was never finished. Open the job and use Complete Submission.              |
| Submitted          | Received; the agency is setting the job up. Nothing is needed from you.                      |
| Estimate           | A price is waiting on your decision. Work doesn't start until you approve.                   |
| Deposit            | A deposit invoice must be settled before production begins.                                  |
| Transcribing       | Production — everything from file prep to final proofread sits under this one word.          |
| Ready for Delivery | Finished, but held until the balance is settled.                                             |
| Complete           | Delivered and downloadable.                                                                  |
| Canceled           | Closed without a transcript. An invoice issued before cancellation can still be outstanding. |

Approving or declining an estimate happens on the job's overview or in [Action Required](/transcription/action-required) — and declining cancels the job outright, with no way to reinstate it. See [Approve an Estimate](/transcription/estimate).

## Why "Transcribing" sits unchanged for days

Nothing is wrong. Behind that one word the job passes through four stages — file prep, assignment, typing, review and formatting — and the badge doesn't move through any of them. There's no progress bar, and a job on the same word for a week is behaving normally.

Watch the Due By date on the overview instead; that's the commitment. You'll be emailed when the transcript is delivered. If Due By passes with no change, that's the point to contact the agency, `T-` number to hand.

## Inside a job

Banners above the tabs carry anything needing your attention — an unfinished submission, an unpaid invoice, a transcript waiting on payment.

Overview: four figures across the top (duration; pages, estimated until finished; Due By, becoming Delivered or Canceled; total, estimated until invoiced). Case Details is the record as submitted — none of it is editable from your side, so ask the agency to correct anything wrong. Case Bundle collects the transcript, media, and attachments in one card, and a decision box appears above it whenever the job needs one from you.

Files: media and attachments in separate tables; click a name to download, or tick rows for a combined `.zip`. A file you excerpted at ordering lists its ranges beneath it — changing them after submission is a request to the agency, not an edit you can make here. You can add files until the job reaches Ready for Delivery — up to 25 media and 50 attachments, 10 GB each, attachments `.doc`/`.docx`/`.pdf` only. The agency can also email an upload link that works without signing in: one dropzone that files documents as attachments and everything else as media, each media file needing a duration since that's what the job is priced against. Don't zip files first — nothing ever unpacks an archive, and no duration can be read from one.

  Source media expires a set period after a job closes — the rows stay listed for the record, but their downloads are disabled and expired rows can no longer be selected. Pull anything you want to keep before then. The transcript isn't affected.

Invoices: appears only when the job carries an invoice you can see (job access without billing access hides it — the two access types are covered in [Account Sharing](/account/security/sharing)). Unpaid invoices show as cards with View Details, Download Invoice, and Pay Now; settled and voided ones drop into Invoice History. ## Getting the transcript

The transcript becomes downloadable when the job reaches Complete — before that the button exists but stays disabled everywhere it appears. Once complete, it's in the job header, the Case Bundle card, and the Actions column on Past — the same file, named after the case and proceeding date. Large jobs produced in parts arrive as a `.zip` of PDFs.

If a job shows Complete but the file isn't available, contact the agency with the `T-` number rather than waiting it out.

## When payment holds the transcript back

Ready for Delivery means finished and sitting behind the balance — it only appears on jobs set up to require payment before release; every other job goes straight to Complete.

Pay Now — from the overview box, the Invoices tab, Action Required, or the Active list — opens the payment window, which hands off to QuickBooks in a new tab and unlocks the download the moment payment confirms. Two variations: a finished job with no invoice yet stays held until one is issued and paid, and if your firm's invoices route to a billing contact, the job shows the hold but you can't clear it.

## Changing or canceling a job

Nothing on a submitted job can be edited or canceled from your side. Contact the agency with the `T-` number and what needs to change. The one exception is a Draft — never submitted, so open it and use Complete Submission ([Create a Transcription](/transcription/create) covers what it asks for).
