When you submit or manage transcription and proceeding requests, each job moves through a series of statuses. These statuses help you and our team track progress and know exactly where a job stands.

When you submit or manage transcription requests, each job moves through a defined set of statuses. These statuses show exactly where your request is in the workflow.

Initial Stage

Submitted

When you first submit a transcription job, it enters the Submitted status. This means we have received your request, but our team hasn’t started processing it yet. At this stage, you don’t need to take any further action unless we contact you for additional information.

Estimate

Some jobs may need a custom estimate, especially if they involve special requirements or formats. In the Estimate status, our team is preparing a cost estimate for your job. You’ll receive a notification when the estimate is ready. You’ll need to approve or deny the estimate before we proceed with processing your job.

Processing Stages

Transcribing

Once you’ve approved the estimate (if applicable), your job moves to the Transcribing status. Our professional transcriptionists are actively working on converting your audio or video files into a text document. This phase involves carefully listening to your recordings and accurately transcribing the content.

Finalizing

In the Finalizing status, the initial transcription is complete. Our QA team is reviewing the document for accuracy, completeness, and adherence to formatting standards. This step ensures that the final transcript meets our high-quality standards before delivery.

Delivery Stages

Ready for Delivery

After passing QA review, your job enters the Ready for Delivery status. The final transcript is ready, but it may require payment before you can access it. Please review any outstanding invoices and make the necessary payments to receive your transcription. You can make payments directly through the Invoices section in your account.

Complete

When your job reaches the Complete status, it means the transcription is fully processed and available to you.
  • If you’ve selected digital delivery, you can download the transcript from your account under the My Jobs section.
  • If you’ve requested a physical copy, it has been mailed to your specified address. You can view the tracking number in your account to monitor delivery status.
