Transcription Settings

The Transcription Settings page allows administrators to configure cost variables, customer rate groups, turnaround times, and add-on services. These settings define how transcription jobs are estimated, billed, and delivered.

Variable Costs

  • Padding for Estimated Pages — Add buffer pages to initial job estimates to account for variations.
  • ASR Fee per Minute — Set the automatic speech recognition (ASR) fee charged per audio minute.
  • Shipping Fee — Flat fee for shipping physical transcripts.

Rates

Rate Groups

  • Assignable to customer types or email domains.
  • Control whether turnaround time is measured in business days or calendar days.
  • Option to define a minimum page fee for each group.
    • When a manager submits the job, MPT is manual (even if enabled in rate group)
    • When a customer submits a job, MPT is set active when the estimated pages is below the min pages in the rate. (alert shows in the UI)
Onboarding logic for transcription rates:
  • If the user already has rates assigned, don’t do anything
  • Match rates based on their email domain.
    • When there are matches, use those rates.
  • If the user category is Other (Not Listed). Dont assign any rates.
  • Match rates based on the category.

Turnaround Times

  • Define turnaround options with:
    • Name — Label for the turnaround (e.g., Standard, Rush).
    • Turnaround in Days — Number of days to complete.
    • Rate per Page — Billing rate associated with this turnaround.

Add-ons

  • Configure additional services:
    • Name — Add-on service name.
    • Add-on Type — Either Translation or Other.
    • Rate — Cost of the add-on.
    • Rate Type — Either per page or one-time.
