The Exhibits Manager turns a pile of files into a clean, stamped, numbered set ready to hand off. Open it from the proceeding’s Exhibits tab — court reporters only, on jobs where you’re the assigned reporter. The tab stays hidden until at least one PDF or image is on the job.
First time here? Open the Save Exhibits menu (the arrow beside the button) and choose Start Tour.
A typical pass: add files, put them in order, dial in a stamp, preview, save. Nothing is saved until you click Save Exhibits — leave the page without saving and your work is discarded. Downloads work off your current unsaved state, so you can spot-check at any point, but save before you leave.
Adding exhibits
Exhibits are PDFs or images (PNG/JPG — an image is placed on its own letter-size page and stamped like a PDF). Everything else on the job is filtered out of the lists.
Available Files, under the working list, holds what’s already on the job, grouped by source: Proceeding Exhibits (the Files tab) and Worksheet Exhibits (your worksheet). Click + to add one, Add All for a group.
New files go in the Upload Exhibits dropzone at the bottom — it needs a submitted worksheet first, and says so until you have one. Removing an exhibit with the × only takes it out of your set; the file stays on the proceeding.
Ordering and numbering
Drag rows to reorder; numbers recalculate as you go. Past a handful of files, the Manage button opens a full-height list built for big sets — search, one-click sorts (A→Z, by the number in each filename, reverse), keyboard reordering (arrows move, Shift selects a range, Space picks up, Delete removes), and its own Available Files column.
The Ordering dropdown switches labels between Numeric (1, 2, 3) and Alphabetic (A, B, C). Offset shifts the whole sequence — set 3 and your first exhibit is 4 or D, for when another reporter already handled 1–3. Hover a number avatar for a ± control that bumps that exhibit and everything after it, leaving earlier ones alone — the way to leave a gap for a withdrawn exhibit without renumbering.
Each row also has a type dropdown — Exhibit, Rough Ascii, Witness Recap, Reporter Certification Page, and so on — which feeds the {exhibit} filename token.
Renaming
Turn on Rename Files to generate a consistent filename per exhibit on download, previewed live under each row. The default template is {prefix}-{#}-{filename}. Tokens: {prefix} (the Prefix field), {#} (number or letter), {exhibit} (the type), {filename} (original name, no extension), {witness}, {date}. A repeated token fills in every occurrence.
Stamping
The stamp is the first-page watermark — label, witness, case number, reporter, date. Stamp Settings opens as an overlay; the pin icon docks it as a third column and remembers the choice.
Four presets pre-fill everything — Black & White, Yellow Classic, Yellow Professional, Blue Detailed — then adjust:
- Position (four corners, top-middle, bottom-middle), dimensions and margin in inches, colors, and the label vs detail font sizes.
- Toggles for each line: underline, witness, case number, your name, session date.
- Wrap Detail Lines wraps the witness, case number, reporter, and date lines instead of cutting them off. Off by default, so existing stamps look unchanged — turn it on when a long case number is being truncated.
The Witness field (beside Prefix in the Files panel) overrides the witness on the stamp and in the {witness} filename token for the whole set. Leave it blank and the real witness is used — the placeholder shows who that is.
Stamp settings are kept per exhibit. Apply to All copies the current look to every exhibit — each keeps its own label and filename. Skip Stamp passes an already-stamped file through untouched, and Apply to All deliberately doesn’t copy it, since it’s a property of the file rather than a style. It’s also the way past a password-locked PDF: a PDF that opens without a password stamps fine, but one that needs a password can’t be stamped, and the download stops on it with a message saying so. Either upload an unlocked copy (printing it to a new PDF works) or turn on Skip Stamp and it goes out as it came.
Previewing and downloading
Live Preview renders the selected exhibit exactly as it will download, stamp overlaid — the stamp goes on the first page only, and pages 2+ pass through unchanged. Arrows move between exhibits and pages; click the filename to jump by name.
Download an exhibit from its row, or Download All for the whole set as a .zip, stamped and renamed. You don’t have to save first. If a file fails while the set is being fetched or stamped, the download window pauses on it — the reason under “What went wrong” — with Retry, Skip File, and Cancel. Skip File picks up where it left off rather than starting the set over; Cancel discards everything stamped so far.
Saving
Save Exhibits stores your list, order, types, and stamps; keeps your numbering and filename settings as the default for this proceeding; and writes a log entry for the agency.
Where exhibits come from
Attorneys upload directly through the emailed links your worksheet’s exhibit requests send out; you upload here or on the Files tab; staff attach theirs. Once the set is saved, staff review it and can pull it — stamped exactly as saved — straight into the customer’s order. That’s why Save Exhibits matters more than a clean download: the order only ever sees what was saved.
A note or a non-PDF file for staff about the exhibits belongs in the job’s thread, not in the set.
