The order page labels itself with an id like
P-1042-SO-3 — the SO is staff shorthand for the same order. Search accepts it, so paste it straight from an email.Find the order
Proceedings → Orders lands on Active — everything still with you, with due dates. Past holds what’s left your hands, and its Invoices column shows which invoice covers each order, with a status dot: an empty cell there is work you handed in and never billed. The same orders sit on the job’s own Orders tab with a counter, behind a warning banner until they’re gone, and in Proceedings → Action Required. Two automatic reminders go out: a day before due (switchable in notifications) and shortly after it’s overdue (not switchable).Upload what you produced
Upload Files on the row or above the order’s file table, or drag onto the table. Uploading only parks files on the order — you still have to submit. Up to 100 files, 25 GB each. Accepted types depend on the product — the upload window shows the list; where the agency left it blank, anything goes except executables, scripts, macro-enabled Office files,.svg and .html. Large files chunk and retry on their own, but there’s no resume across a reload — that file starts from zero.
Wrong file? Delete File on its row removes it permanently — only while the order is with you, and only for files you uploaded. Downloads keep working after you submit.
Hand it in
Submit Order on the order page (Submit Work on the job’s Orders tab card):- The window lists what’s attached — at least one file, or it won’t submit.
- Its dropzone uploads as part of submitting, so late additions don’t need a separate trip. A skipped file forces a Submit Anyway confirmation.
- The optional Feedback box posts to the job’s thread — “page 40 is a re-scan” context. Posted only if the submission goes through.
- Submitting moves the order to Finalizing and out of your hands; you can no longer upload or delete on it.
If it comes back
A manager can return an order for corrections: badge back to Pending, Submitted date cleared, and it lands in Active, Action Required → Orders, and behind the job banner. The reason arrives by email and as a Return note card in the thread with an Open button. Fix what was asked, then Submit Order again — everything already on the order is still there, the upload area is marked Optional, and a Feedback line saying what changed posts with the resubmission.Invoice it
On a billable assignment you raise your own invoice from the job’s Invoices tab: pick what you’re billing, build lines off your rate card, save. Staff review and push it out for payment. One invoice can cover attendance and every order you produced on the job. No Invoices tab? Billable is a per-assignment setting on the agency’s side — normal to have it on one job and not the next. If you were engaged to bill and it’s missing, ask staff; nothing on your side switches it on.When
Create Invoice unlocks at In Session and stays available through Complete and even a canceled job (a late-cancellation fee goes through the same form, if that item is on your rate card). But most invoices start from the request email instead: it goes to every billable worker once all worksheets are in, quoting your hours off your own worksheet rounded up to the next 15 minutes, and its link opens the form with your services linked and your usual lines laid out — you fill in quantities and save. If orders were placed, bill attendance now and each order as it finishes, or wait and put the lot on one invoice — the form links as many as you like.Building it
The Proceeding Summary card beside the form restates the job — case, witness, session — and, once your worksheet is in, adds Billable Hours: your recorded start to end, rounded up to the next 15 minutes, with the rounded figure on its copy button. That’s the quantity for your attendance line. No Billable Hours line means no worksheet on file — interpreters, who file none, never see it.- Link To is required — Provided Services for attendance, plus tick any of your orders. Attendance and two orders is one invoice, not three.
- Add Product/Service adds a rate line from your own rate card; you set the quantity. The menu beside it adds a plain description line. If something you need to charge isn’t in the dropdown, ask staff to add it to your rate card rather than forcing it onto another item.
- With Provided Services linked, Generate Lines drops in every default item for your role at zero quantity. It replaces existing lines, so use it first.
- Save stores a draft (
P-1042-INV-1). The total must be above zero, and a rate with a minimum blocks quantities below it.
After you save
Staff push the draft to QuickBooks — that’s what issues it. Paid writes back automatically when the payment lands.Staff call a worker invoice a bill, and the wording leaks into the balance panel — “Draft Bill” on a draft, “Bill Total” on a voided invoice and atop an order an invoice covers. Same document, same number.
