QuickBooks Integration for Transcription Jobs

Our QuickBooks Online integration lets managers link transcription jobs directly with QBO invoices for easier billing and payment tracking.

Managing a Transcription Job (Options Menu)

  • Update Payment
    • Options: Idle, Pending, Completed, Generated At, Due By, QBO Invoice ID.
    • Allows the manager to manually add a QBO invoice and adjust the job’s payment status.
  • Pull from QBO
    • If a QBO invoice is present (or after adding an invoice ID), you can automatically pull the current invoice status from QBO and update the job.
  • Link QBO Invoice
    • Similar to Pull from QBO, but starts by adding a QBO invoice ID.
    • The system will fetch the invoice status from QBO and update the job.
  • Send Invoice Email
    • Sends an email related to the job containing the relevant QBO billing details.
  • Download Invoice
    • Retrieves the latest invoice directly from QBO.

Transcription Job Payment Detail Panel

  • QBO Invoice ID
    • Options to copy the ID, open invoice in a new window, or download the invoice.
  • Payment ID
    • Displays the related payment ID if a payment has been made by the customer.
  • Status
    • Shows the current status of the invoice (e.g., pending, paid).
  • Generated At
    • The date when the invoice was generated.
  • Due By
    • The date when the invoice is due.
  • Paid At
    • The date when the invoice was paid.
  • Customer Connection
    • Displays if the customer is connected to a QBO account.
  • Worker Connection
    • Displays if the worker(s) are connected to QBO accounts.

Key Points for Managers

  • Invoices can be managed directly within transcription jobs.
  • Statuses remain synchronized with QBO when updated.
  • Both customer and worker accounts can be linked to QBO for complete financial tracking.
