Paying happens in QuickBooks, not in this app. Pay Now fetches a payment link for that one invoice, opens it in a new browser tab, and watches for confirmation so it can unlock anything the payment was holding. The window is the same everywhere Pay Now exists, and the chip at the top carries the QuickBooks document number so you can check you’re paying the right invoice.

What the window does

Opening payment portal

The app is asking QuickBooks for a payment link. Nothing has been charged, and the window can’t be closed until the handoff finishes.

Awaiting payment

The QuickBooks tab is open — complete the payment there; this window can’t take a card. Hide doesn’t cancel anything.

Payment received

Confirmation arrived, and the window shows what the payment released — see below.
If the window instead reports it could not open your payment link, QuickBooks never returned one. The footer reads “No payment captured” — nothing was charged. Try again; if it keeps failing, contact the agency handling your matter.

Allow pop-ups before your first payment

The QuickBooks tab opens a moment after the click, not at the click — some browsers block that as an unrequested pop-up, silently. The window still advances to Awaiting payment and just sits there, with nothing telling you the tab was blocked.
If no tab appeared, check the address bar for a blocked-pop-up icon, allow pop-ups for this site, and click Pay Now again — or use the payment link in the invoice email instead. Allowing pop-ups once, before your first payment, avoids the confusion entirely.

What the paid screen shows

  • A transcript held for payment: Transcript unlocked, with a working Download button right in the footer — no refresh needed.
  • A proceeding order held for payment: Order delivered, listing the released files with per-file download and Download All as a .zip. Orders still in production aren’t in the list.
  • A deposit or ordinary invoice: the balance clears, and a deposit releases the job to move forward. Nothing to download.
Closing the window at any point after the first screen is safe, but it ends the live update. To confirm a payment landed afterwards, check Accounting — the invoice moves to Paid on its own.

Paying without signing in

Every invoice email carries a payment link in the message body — the same QuickBooks page, no login needed. That’s the route for colleagues without an account, and the fallback when pop-ups are blocked.
The link is in the email body, not the attached PDF — and it’s unauthenticated, so anyone holding a forwarded invoice email can settle it.

Why Pay Now might be unavailable

Pay Now needs an invoice that is unpaid and already in QuickBooks. It’s disabled when the invoice hasn’t been pushed yet (no document number, nothing to link to), or when your access covers the job but not its billing. A paid or voided invoice produces no link at all.

Payment methods

Cards, bank transfer, what’s accepted, what’s stored — all of it belongs to the QuickBooks page. This app never sees a card number.
