Finding it
Action Required sits in the left menu nested under Transcription, with a red count beside it. The entry only exists while transcription has something outstanding — when the last item clears, it disappears rather than sitting there at zero. The Transcription view of your dashboard repeats the same items as a row of chips under the heading Needs You, each chip linking straight into this queue. When nothing is outstanding the row reads “All caught up”. Proceedings and Accounting have their own separate queues, each with its own count. There is no combined view, so an empty transcription queue says nothing about the other two — see Proceedings and Accounting.The count refreshes every three minutes, and that timer pauses while the browser tab is in the background, so a number can be a few minutes behind. Opening the queue refreshes it immediately, as does the refresh icon in the top right. Approving or paying from inside the queue updates the count straight away.
Estimates
An estimate waits for your decision before any work starts. Review Estimate opens the quote: total, duration in minutes, page count, and the due date if the job goes ahead. Approve Estimate starts the work. Decline Estimate asks you to confirm and then cancels the job permanently — a declined estimate can’t be revived, and it isn’t a request for a revised price, so if the figure looks wrong leave the estimate alone and raise it with the agency instead. See Approve an Estimate. Only the first decision counts. If the estimate was already approved or declined — by you from the emailed link, or by a colleague on the account — the second attempt is refused rather than overriding it. That’s also why an estimate you already answered by email isn’t in the queue.Deposits
A deposit item is a job that needs money up front before work begins, shown with the amount owed. Pay Now settles it and the job moves on to Transcribing; the download icon beside it fetches a PDF of the invoice.Delivery
A delivery item is a finished transcript held until it’s paid for. Pay Now, and the transcript unlocks as soon as the payment confirms — the download becomes available immediately, with no refresh needed.If Pay Now is greyed out on a deposit or delivery item, the invoice either hasn’t reached QuickBooks yet or your access covers the job but not its billing.
